Training Admission
1. Admission to courses is subject to availability of the centre(s), tutor(s), course(s) and the suitability of students.
2. Virtual Lens may refuse admission to any student it may reasonably deem to be unfit for the course.
3. Virtual Lens may choose to hold an assessment sessions prior to enrolling a student onto a course & has the right to charge for this service.
4.  Due to limited spaces, Virtual Lens often works on a “first come, first served” basis. The centre reserves the right to allocate a reserved space to another student if full payment has not been made.
5. A place on the course is only confirmed once full course payment has been received (or in some cases, when the registration fee is received).
6. Virtual Lens reserves the right to cancel a confirmed booking (even after full payment has been made) for reasons such as, but not limited to, overbooked sessions, tutor availability or unforeseeable circumstances.

Payments

  1. Payments can be made by cheque (payable to Virtual Lens) purchase order (in which case payment must be paid for within 30 days of our invoice), credit card (we accept Visa, MasterCard, Delta, Switch or Amex) or by bank transfer.
  2. Payments must be identifiable by parameters such as name, course, course date and location. We reserves the right to require full payment in  advance where  satisfactory credit arrangements have not been made.
  3. We reserve the right to change prices without notice, but this will not affect any course you have already paid or agreed to pay for in writing.
  4. We reserve the right to charge an additional fee for change of delegate(s).
  5. No fee or payment made to Virtual Lens is refundable unless specified in this terms and conditions.

Cancellation

You may cancel a course you have paid for and request a refund. Refunds are calculated based on the table below. An administration fee of £49 is applied to all refunds.
(Cancellation Notice Period prior to course commencement – Refund percentage)

  • 29 days (or more) – 100%
  • 21 to 28 days – 50%
  • 20 days (or less) – 0%

All cancellations must be received in writing and acknowledged by Virtual Lens in writing.

If the required number of students is not achieved, we reserve the right to cancel or reschedule a course. We will try to provide a minimum of 10 working days’ notice in this case. In such cases, a complete refund or different dates will be offered.

Virtual Lens is not liable nor bears any responsibilities towards any expenses incurred as a result of cancellations.

Change of Delegate(s)

  1. You may swap delegates prior to start of a course.
  2. We will try to accommodate this change without further charge, but Virtual Lens reserve the right to charge a £50 admin fee and/or a £200 registration fee. These fees may change in value at anytime without prior notice.
  3. Delegate change is not possible once the course has started and Virtual Lens reserve the right to demand full course payment for any additional or swapped delegates.

Change of date and/or time

  1. You may change the date and/or time of your course were possible, but additional charges may occur.
  2. Charges are calculated based on the table below. 
    (Notice Period prior to course commencement – amount payable)

    • 29 days (or more) – Free
    • 21 to 28 days – 50%
    • 20 days (or less) – 100%

Examinations & Certification (where applicable)
1. There are no additional costs involved for examinations and certification, but Virtual Lens reserves the right to charge other charges such as registration and administration fees.
2. There are no available options to opt in or out of an accreditation for a different fee.
3. Certifications are only provided when the course has specifically been advertised as an “accredited” course which issues certificates/qualifications.
4. All courses labelled as “accredited” are so through an awarding body such as the NCFE, unless specified otherwise.
5. NCFE are an awarding organisation recognised by the qualification regulators for England (Ofqual, Wales (Qualification Wales) and Northern Ireland (CCEA Regulation).
6. Accredited courses are issued by a nationwide recognised awarding body, and are classified as unregulated qualifications, unless specified otherwise.
7. Additional costs may accrue if more than 1 examinations is required (e.g. in the event of failing a course, or missing examination).
8. Additional costs may accrue if more than 1 certificate is required for the same course (e.g. when a second print/proof of the qualification is required in case of damage or loss). The cost for this is currently £200 but may change without prior notice.
9. No certificates or qualifications are issued unless:
a. The candidate has successfully completed the course.
b. The candidate has successfully passed assessment process.
c. Full payment for the entire course has been paid
10. If a student misses out on too many sessions through late arrival, early departure or missing lessons, Virtual Lens reserves the right to request the student to attend additional lessons, which may accrue additional costs.
11. Certifications may be contain the logo and/or branding of partner companies.

Post-training support

  1. Post training support is only available if it was offered as part of your course.
  2. You may only claim your post-training support for the next 365 calendar days of the last day of your applicable training day.
  3. Post-training is only provided online over a video conferencing software, such as Zoom or Microsoft Teams.
  4. Your free post-training support will only be available for the hours specified in your package.
  5. Virtual Lens reserve the right to charge hourly or daily rate charges, which may vary between different instructors, for any additional support provided beyond the agreed free support program.
  6. Post-training support is only available subject to tutor availability.
  7. Your post training support may be provided by a different instructor from the one(s) who may have deliver your training course(s).
  8. You may not reschedule a booked training support. Failure to attend will result in nullification of your post-training support.
  9. It is your responsibility to ensure you have all required information and files, such as project files or questions, ready for the training support.
  10. Post-training support can only be offered to the delegates who offered the initial booked training package.

Online sessions
1. Online sessions refers to studying a course outside of Virtual Reality’s premises.
2. Students, or their sponsors, are responsible for ensuring they have access to the required hardware and software to study the course. This includes, but not limited to, computers, laptops, monitors, apps, programs, internet connections, headsets, microphones and gears. All expenses are to be paid for by the student or their sponsors. Virtual Lens holds no responsibilities to cover the cost for this in anyway or form. This includes, but not limited to, paying the supplying company or individual, reimbursements or discounts.
3. Students, or their sponsors, are responsible to ensure a stable internet connection is available when joining online classes.
4. Students must be in a quiet room away from any distractions or noise.
5. Virtual Lens’ tutors or representatives will have the right to mute or remove students from online classrooms if they reasonably deem it to be in the interest of the company or other delegates.

Authority, Suspension & Expulsion
1. Virtual Lens reserves right to take steps it reasonably believes to be necessary to maintain discipline, ensure safety and wellbeing of staff, students & equipment.
2. Virtual Lens reserves the right to suspend or remove any delegates whose attendance, work or behaviour is, in their reasonable opinion, unsatisfactory. Under such circumstances, Virtual Lens will be under no obligation to return any fees & will have the right to demand full payment for the entire agreed course.

Photography & Videoing
1. From time to time Virtual Lens will take photos, videos, audio recording, interviews, written reviews, screen recordings & feedback of delegates.
2. This content is solely for the use of advertising and marketing which may appear on third party material such as websites and leaflets.
3. By enrolling your onto a course with us, you are providing your consent to this. For further information on this or to opt out please email us detailing this to: info@virtuallens.co.uk
4. Please provide the following information in your email: Name of delegate, Course Booked & Date of Booking
5. Delegates are not permitted to record, download or retain any recording(s) of classes, lessons, lectures or post-training support.

Personal Property
1. It is advisable that delegates do not bring with them any valuables.
2. Virtual Lens holds no responsibility for the loss and damage of any personal property.

Processing information
Virtual Lens will ensure that your data is processed fairly and lawfully. We will process information only where:

1. the law allows us to, or
2. you have given your consent, or
3. we have received a court order

Ensuring your personal information is safe and accurate
1. Virtual Lens ensures that information held on our computer systems and in our paper filing systems is secure to guard against unauthorised or unlawful processing or accidental loss, destruction of, or damage to personal data.
2. In order to carry out its functions, Virtual Lens may receive information about you from others or give information to others, but we can only do this in accordance with the law.
3. Any third parties from whom we receive personal data or to whom we pass personal data are also required to comply with the Data Protection Act.
4. Virtual Lens only collects and records personal information that is necessary to carry out its functions, nothing more.
5. The information that we record is based on fact and, where opinion is recorded, it is relevant and backed up.

Data sharing
1. Virtual Lens will only share personal data with those organisations that it is legally required to, and where sharing personal data is necessary we will comply with the Data Protection Act & GDPR.

Retaining information
1. We will only retain information if a business need exists. It is not kept longer than is necessary for that purpose.
